Sound familiar?

The work is working. The record of it isn't.

Mission-driven teams rarely have an execution problem. They have a visibility problem, and it shows up first in front of the people who fund the work.

No single view

“How many initiatives are we running right now?”

Nobody can answer without opening four spreadsheets and calling two people. Cumulative footprint across cities, cohorts, and program areas is invisible.

Reporting burden

“Every funder wants it in a different shape.”

The same outcomes get reassembled by hand for every report, and the staff time it consumes is time not spent on the program.

Network as memory

“We're reinventing the wheel for every event.”

Partners, advisors, and funders live in someone's inbox. Who was asked, who gave, and who knows whom is institutional memory with no institution behind it.

The discipline is already there. It just has nowhere to live.

What we build

One system your board, your funders, and your program staff can all read.

Every build is scoped to the work in front of you. These are the four that come up most in this sector.

Programs

Portfolio visibility

Initiatives, cohorts, and phases in one model, so history survives the next round and leadership can answer the footprint question on demand.

Funders

Grant & compliance tracking

Grants, deliverables, and documentation tracked as core functionality rather than an afterthought — evidence assembled as the work happens.

People

Network & relationship CRM

Partners, advisors, and funders with the full context attached: what was asked, what was given, and who connects to whom.

Access

Role-based interfaces

One database, several audiences. Staff, leadership, and funders each see the view they need, with permissions that hold.

Program portfolio · Airtable
A program and initiative portfolio dashboard built in Airtable, showing fundraising progress, program status, and active initiatives

The four builds above, assembled. Fundraising progress, program status, and every active initiative — read off the records rather than compiled for a meeting. Demo environment, sample data.

How it works

How the build runs.

We start with the reports your funders already ask for and work backwards. Twelve weeks to a system your staff can run without us, every stage priced and dated up front.

We start with the reporting

Every report your funders require, every spreadsheet feeding it, and every person who touches it. You see the real cost of the current process before we change anything.

One record, many audiences

Programs, grants, and contacts modelled once, with role-based views for staff, leadership, and funders. Priced and dated, and you approve it before we build.

Built against your real data

Tables, automations, and interfaces tested on your actual programs and grant cycles — not sample records. Reviewed with you weekly rather than revealed at the end.

Your team runs it

Staff trained, documentation written, and the first funder report produced from the system with you watching. Turnover shouldn't take the system with it.

Park West Digital builds operations systems as a full-time discipline — the rigor of an engineer with the judgment of a consultant. For mission-driven organizations that means program, grant, and network operations that hold up to a funder's questions, built on Airtable and connected to the tools your team already runs.

Questions

What nonprofit teams ask first.

Do you work with nonprofits at our budget?

Every engagement is scoped to the work rather than to a fixed package, and we say so before you commit. Book a free consultation and we will tell you honestly whether the scope you need fits the budget you have — including when the answer is that it doesn't yet.

Our data is sensitive — participants, grantees, donors.

Access control and permissions are designed in from the start, not added afterwards. Role-based interfaces mean staff, leadership, and funders each see only what they should, from a single underlying record.

We already have a CRM and a grants tool. Do we replace them?

Usually not. The common failure is that those tools do not talk to each other, so the connective layer is what we build. Where a tool is genuinely working, we integrate with it.

Who maintains it after you leave?

You do, and we make that possible on purpose. Every engagement ends with training by role, written documentation, and a support window after go-live. The system is yours, not rented.

Can it produce what our funders ask for?

That is usually the point. When outcomes are captured as the work happens rather than reconstructed at reporting time, a funder report becomes a view of the data you already hold.
